Planning and Running Effective School Council Meetings

School council meetings are where most planning and collaboration happen. Ontario Regulation 612/00 requires councils to meet at least four times each school year, with notice provided to the school community. These meetings are for sharing information, offering advice to the principal, and supporting the goals of the school—not for making administrative decisions.

Good preparation keeps meetings focused. An agenda sent a few days in advance helps members know what to expect and gives time to add topics through the chair. Listing approximate times beside each item keeps the discussion balanced and helps finish on schedule. Before the meeting, the chair and principal can confirm which items are for information, consultation, or follow-up.

Minutes should record decisions and actions clearly but briefly—who will do what, and when. Draft minutes are approved at the next meeting and then made available through the school office or school website. Meetings work best when they start and end on time, stay respectful, and end with clear next steps. When the process is simple and predictable, more parents are willing to participate.
